Office Assistant/Receptionist

Strato Communications, Inc’s CA Public Sector Government Solutions Group (GSG) is looking for a competent Office Assistant/Receptionist at our current HQ at 50/Mather to help with the organization and running of the daily administrative operations of the company and supporting customer procurement.

The ideal candidate will be a flexible, ethhusiastic, hard-working professional able to undertake a variety of office support tasks with knowledge of or experience in a SLED and/or State & Local government procurement. This Team member will be comfortable working under pressure, diligent with a high degree of attention, follow up and take ownership of tasks.



Duties

Responsibilities

  • Organize office and assist associates in ways that optimize policies, process and procedures
  • Enter data in QuickBooks - maintain an orderly accounting filing system 
  • Perform receptionist duties including answering phones, filing and other clerical duties
  • Create and update customer records in CRM ensuring accuracy and validity of information
  • Maintain trusting relationships with suppliers, customers and colleagues
  • Update marketing materials and other corp docs an as-needed
  • Support inside / outside teams in placing vendor orders with 100% accuracy
  • Track and invoice orders daily
  • Follow-up on all open orders, confirm price and availability
  • Provide accurate purchase orders
  • Coordinate procurement with suppliers and place orders
  • Follow up with clients to confirm products are received

Requirements

  • Knowledge of “back-office” computer systems (CRM/Quickbooks/ERP software)
  • Thorough understanding of office management procedures and equipment
  • Excellent organizational and time management skills
  • Analytical abilities and aptitude in problem-solving
  • Excellent written and verbal communication skills
  • Excellent interpersonal skills, both in person and over the phone
  • Must be proficient in the use of Microsoft products, including Excel, Word, Outlook, O365 Collaborative Tools 

Minimum Qualifications

  • An associate's degree or equivalent combination of education, experience performing administrative duties
  • Two years or more of experience in bookkeeping, accounting or related fields
  • Working knowledge of QuickBooks and/or Quicken
  • Sound Work History
